The concert is booked, but now it’s time to advance the show—the process of coordinating all logistical details with the artist’s team. Here’s a checklist for a successful advance:

  1. Contact the Tour Manager Early
    Reach out 2–4 weeks before the show. Review load-in times, parking, soundcheck, hospitality, and local contacts.
  2. Confirm Technical Specs
    Double-check the stage plot, input list, and lighting setup with your production team. Make sure you can meet all requirements—or address shortfalls early.
  3. Hospitality & Lodging
    Book hotels, confirm room counts, and prepare backstage hospitality items (food, drinks, towels). Keep receipts and track costs.
  4. Merchandise and Settlements
    Coordinate where the artist can sell merch, what the venue’s cut is (if any), and who handles cash settlements.
  5. Prepare for the Unexpected
    Have contingency plans for weather, late arrivals, power issues, or gear failures. Clear communication and flexibility go a long way.
  6. Staffing. Make sure that you are properly staffed including bar staff, security, parking attendants, ticket takers, bar backs, stage hands etc.

A well-advanced show reduces stress, avoids miscommunication, and makes the artist want to return. Your reputation depends on it.
