The concert is booked, but now it’s time to advance the show—the process of coordinating all logistical details with the artist’s team. Here’s a checklist for a successful advance:
- Contact the Tour Manager Early
Reach out 2–4 weeks before the show. Review load-in times, parking, soundcheck, hospitality, and local contacts. - Confirm Technical Specs
Double-check the stage plot, input list, and lighting setup with your production team. Make sure you can meet all requirements—or address shortfalls early. - Hospitality & Lodging
Book hotels, confirm room counts, and prepare backstage hospitality items (food, drinks, towels). Keep receipts and track costs. - Merchandise and Settlements
Coordinate where the artist can sell merch, what the venue’s cut is (if any), and who handles cash settlements. - Prepare for the Unexpected
Have contingency plans for weather, late arrivals, power issues, or gear failures. Clear communication and flexibility go a long way. - Staffing. Make sure that you are properly staffed including bar staff, security, parking attendants, ticket takers, bar backs, stage hands etc.
A well-advanced show reduces stress, avoids miscommunication, and makes the artist want to return. Your reputation depends on it.
